If you use a part on a work order, this is called “Logging a Part”. Parts can be added as a normal part or as an installed “Site Asset”. Site Assets are just parts you want to keep track of. They have options for including extra information such as serial number and notes.
How to Log a Part Used from the Website
In an open work order, to log a part used, go to the “Logging” section of the top, ribbon toolbar. Click on the “Parts” button and then click on “Install”.
This will bring up a “LogPartsUsed” dialog box where you have the choice to use a part from:
- Part Catalog – add from the master list of all parts
- Inventory – add from a user’s inventory
- Part Order – add from an existing part order
To search within any of these areas, click the magnifying glass icon next to “Part Number”. Choose the part you want to add and then click “Select and Close”.
Once the part is chosen, its part number will occupy the “Part Number” field. The “Revision” and “Description” fields pull data from the part information and are read-only fields.
If the “Updated Site Assets” box is checked, the part will be added as a site asset. If it’s a serialized part, you will be required to enter the serial number of the part being added.
“Bill-To” specifies who to bill for the part:

If “Install at Top Level” is checked, the part will be installed at the site level. But if the box is unchecked, the part can be installed under another existing part at the site.
The “Quantity” field can be changed to note how many parts were installed.
“Temporary Install” is a way to denote that this installation is not permanent.
The “Install Date” is typically left unchanged, but can be edited if needed.
“Part Status” is a list of possible statuses for the part being installed:
- To be installed
- Pending Provisioning
- Pending Billing
- Pending Cease
- Pending Suspend
- Pending Resume
“Asset Tag” is a text field you can use to add your own asset tag or other identifying information about the part. You can add longer-form data about the part in the “Notes” section below.
When ready, click “Save and Close”. The part appears in the Activities menu, which is viewable by clicking “Activities” in the left Details menu.
